Contact Center Cost Per Call in Saudi Arabia: How to Calculate
Calculate contact center cost per call in Saudi Arabia: loaded agent cost, shrinkage, occupancy, handle time, overheads and missed calls, with formulas.
Cost and ROI
Plan for Ramadan, Eid, Hajj and Umrah call center peaks in Saudi Arabia: official season data, Ramadan working hours, staffing options and automation.
Saudi contact centers face peaks that move every year. Ramadan, the two Eids, Hajj and the Umrah season follow the Hijri calendar, while salary days, school terms and national occasions follow the Gregorian one. Ramadan also cuts agent capacity at the same time as it reshapes demand, which makes it the hardest month to staff.
The usual answers are temporary hiring, overtime and outsourcing. Each has a cost and a lead time. This guide sets out the seasonal calendar with official figures, compares the staffing options with automation, and gives a planning method you can apply to your own interval data.
Align historical call data by Hijri date, not Gregorian date. In Ramadan, working hours for Muslim employees are capped at 6 a day, so the same headcount delivers less capacity. Plan by call reason and by interval: automate the short, repetitive calls that drive the peak and keep agents for complex and sensitive ones.
| Season | Timing | What changes |
|---|---|---|
| Ramadan | 9th Hijri month. The Ministry of Hajj and Umrah calendar sets 1 Shawwal 1448 AH as 9 March 2027, which places Ramadan 1448 in roughly February to early March 2027, subject to the official moon sighting. | Working hours for Muslim employees capped at 6 a day or 36 a week (Labor Law Article 98). Daily demand patterns shift; check your own interval data. |
| Eid al-Fitr and Eid al-Adha | Four days of private-sector holiday for each Eid, per the ministry announcement reported by Argaam. Ramadan 29 was the last working day before Eid al-Fitr; Eid al-Adha holidays began on 9 Dhul Hijjah. | Demand before the holiday (orders, deliveries, travel, payments), thin staffing during it, and a backlog after it. |
| Hajj | Dhul Hijjah. GASTAT counted 1,707,301 pilgrims in Hajj 2026 (1447H), of whom 1,546,655 came from abroad, and 1,673,230 in 1446H (2025). | Travel, transport, telecom, banking, healthcare and hospitality lines, plus many callers who are new to Saudi services. |
| Umrah season | For 1448 AH, Umrah visas are issued from 31 May 2026 to 9 March 2027, with final entry on 23 March 2027 and final departure on 7 April 2027. | A long season, not a single peak. GASTAT reported 15,222,497 Umrah performers in Q1 2025 alone. |
| Salary cycle | Government salaries are paid on the 27th of each Gregorian month, with service bill dates set in the following week (Okaz, 2018). | Payment, balance, transfer and billing calls cluster around payday and bill dates. |
| National occasions and sales | Founding Day is an annual holiday on 22 February (SAMA Rulebook). National Day and retail promotions add further peaks. | Order, delivery, return and promotion calls in retail, e-commerce and telecom. |
| School cycle | Term starts, registration and results, per the Ministry of Education calendar for each year. | Education, transport, banking and healthcare lines. |
Because the Hijri year is about 11 days shorter than the Gregorian year, Ramadan and Hajj start earlier each Gregorian year. A forecast built on "the same month last year" will be wrong. Tag every day in your history with its Hijri date and compare like with like.
Peaks hurt for three reasons that compound.
The cost model in our guide to contact-center cost per call shows how each of these raises the cost of a handled minute.
| Option | Works best for | Limits |
|---|---|---|
| Temporary hiring | Long, predictable seasons such as Umrah | Lead time for recruiting and training; quality risk; cost of onboarding repeated each year |
| Overtime | Short spikes of a few days | Premium pay; fatigue; limited during Ramadan hours |
| Outsourcing to a BPO | Overflow of simple, well-documented calls | Contract minimums and notice periods; knowledge transfer; data-protection review |
| Shift redesign | Demand that moves within the day, as in Ramadan | Requires accurate interval forecasts and agent agreement |
| Callbacks and queue messages | Smoothing short peaks | Defers work rather than removing it |
| Self-service (app, web, IVR menus) | Simple lookups | Callers who prefer to speak, or whose request does not fit a menu |
| Voice AI agent | High-volume, repetitive calls and outbound reminders | Needs integration with your systems and a clear handover rule for complex cases |
Most centers combine several. The question is which call reasons each option should absorb.
Good candidates are high-volume, short and rule-based: booking and order status, appointment confirmations, package or service information, payment due dates, changed opening hours during Ramadan and Eid, and outbound reminders before a deadline. Keep agents for complaints, disputes, vulnerable callers and anything needing judgment. Our article on when a voice agent should hand over to a human covers how to set those rules.
Language matters during Hajj and Umrah. Callers may speak different Arabic dialects or prefer English, and some speak neither. Check which languages your callers actually use before deciding what to automate; see how AI understands Arabic dialects on the phone.
Ranen answers incoming calls and makes outgoing calls such as appointment reminders and order confirmations, in Modern Standard Arabic, Gulf, Egyptian, Levantine and Maghrebi dialects and English, and it replies in the caller's dialect. It completes requests inside your telephony, CRM, ticketing and knowledge-base systems, and transfers to an agent at once when needed, with a summary so the caller repeats nothing. Plans are measured in minutes; clients are notified near their limit, and extra minutes cost the same per-minute rate as their contract, so a peak month does not require new hires. The Ministry of Hajj and Umrah calendar sets 1 Shawwal 1448 AH as 9 March 2027, so Ramadan 1448 falls in roughly February to early March 2027. Final dates depend on the official moon sighting.
Under Labor Law Article 98, actual working hours for Muslim employees in Ramadan may not exceed 6 a day or 36 a week.
By forecasting by Hijri date and call reason, redesigning shifts around the new demand pattern, using callbacks for short spikes, and automating high-volume repetitive calls so agents focus on complex ones.
For a few days, usually yes, since there is no recruiting or training. For a season lasting months, compare the 50% overtime premium and fatigue against the full onboarding cost of temporary agents.
